Why do we need a privacy policy?

Under the new General Data Protection Regulation (GDPR) we need to be clear about our handling of your personal information. We need you to be informed and have reasonable choices about what data we hold and why. There is no charitable exemption in the law, and nor do we believe there should be, since the security of your data is equally important, no matter who holds it.

Personal Data and Our Website

No personal data is collected or stored about users who visit our website. There are no cookies and there is no tracking.

Personal Data of Members

If you join the orchestra we will ask you to complete a form to give us your details. The form gives the reasons we collect your data, how we will use it, how long we will keep it and asks for your consent. We do not require any data from you that is not necessary to run the orchestra (apart from Gift Aid, see below), and we do not ask for any data that is classified as “sensitive”.

Personal Data of Friends of the Orchestra

If you decide to become a Friend of the Orchestra we will ask you to complete a form to give us your details. The form gives the reasons we collect your data, how we will use it, how long we will keep it and asks for your consent. We only ask for data to manage your Friendship of the orchestra and we do not ask for any data that is classified as “sensitive”.

Personal Data and Third Parties

We will never share your data with third parties without your knowledge and consent. We may use third party web tools to process your data, but we are legally obliged to ensure these are GDPR compliant and we will obtain your consent before we do this.

Gift Aid

If you agree to us claiming gift aid on any money you donate to the orchestra then we need to keep certain information for a longer period than usual. This is in case of any challenge from HMRC and will be communicated to you when you consent to gift aid claims.
